Today's Daily Workflow

Follow these steps daily to ensure seamless project update management. Click each step to see the details.

1 Daily Kanban Board Review

  • Access the Board: Log in to the NNC project update Kanban board.
  • Focus on "In Progress" & "For Review / QA" Columns: These are the primary columns to monitor for new developments and link changes.
  • Identify Moved Tasks: Look for cards that have moved to "For Review / QA" or "Ready for Delivery." These are likely candidates for new or updated links.
  • Check Due Dates: Pay attention to due dates on cards to prioritize updates.

2 Link Verification & Update

For any card that has progressed, open it and locate the project link.

Verify Link Functionality:

  • Click the link to ensure it opens correctly.
  • Confirm it leads to the expected project version.
  • If a link is broken or outdated, immediately notify the project lead. Do not proceed with client communication until the correct link is obtained.

Update Link on Card: If a new or corrected link is provided, update it on the Kanban card.

Add Internal Notes: Comment on the card when the link was last verified (e.g., "Link verified & updated: [Date]").

3 Preparing Client Communication

  • Batch Updates: Compile updates for all relevant projects into a single communication (daily or bi-daily).
  • Use Standardized Template: See the template in the "Key Resources" section below.
  • Be Concise: Keep updates brief and to the point.
  • Ensure Accuracy: Double-check all links and status descriptions before sending.
  • Maintain Professional Tone: Keep communication friendly and professional.

4 Sending Client Communication

  • Use Preferred Method: Send updates via the client's preferred channel (email, portal, etc.).
  • Be Timely: Send updates at a consistent time each day/bi-day.
  • Confirm on Kanban: Once sent, make a note on the relevant cards (e.g., "Client update sent: [Date]").

What if a project link is broken or incorrect?

Immediately notify the project lead/developer responsible for that task. Do NOT send the update to the client until a correct, functional link is provided. Mark the Kanban card with an alert for the internal team.

A client is asking for more detail. What should I do?

Politely inform the client that you will connect them with the project lead who can provide more in-depth information. Forward their query and contact details to the relevant project lead.

What if there's no new progress on a project?

Still include the project in the update. State its current status and perhaps a brief note like "Still in active development" or "Awaiting [specific input/review]." Honesty and consistency are key.
